Global Sourcing – Fiber Supply Administrative Assistant, Memphis, TNKey Accountabilities:
Responsible for all administrative duties supporting the Director, Fiber Supply, including travel scheduling, espense reporting, phone coverage, calendar management, meeting scheduling and support.
Provide periodic support to staff managers reporting to the Director - - Fiber Supply
Provide partial support to the Director, Global Sourcing – Enery and Raw Materials
Provide back-up to other Global Sourcing Administrative Assistants as needed to cover vacation scedules, high work loads, etc.
Contact with a wide variety of individuals both internal and external, at all levels of seniority, providing and gathering information as directed, including contact with international employees and companies
Organize special projects, presentations and correspondence
Compile information and reports as assigned
Responds to wide range of work instructions, sets priorities, manages time to meet commitments in a competent and professional manner
Organize logistics for local and offsite meetings and training as necessary
Interfacing with local department to resolve issues e.g. IT, telecommunications, etc.
Help employees obtain international travel visas and passports
Lead person responsible for Fiber Supply’s adhearence to record retention policiesQualifications Required:
Proactive and dependable while working under pressure and tight schedules
Advanced Proficiency in MS Office (Word, Excel, Power-Point and Visio)
Strong knowledge with written communications and mastery with grammar
Ability to manage multiple projects simultaneously
Excellent interpersonal skills
Excellent organizational skills
Action oriented, customer focused, continual learner, eager to learn, problem solver
Productive work habits, including time management, priority setting, and punctuality.
Ability to work effectively in team setting in order to accomplish objectives efficiently
Community college degree or equivalent
5 -7 years appropriate work experience
Knowledge of IP organizational policies and practices
3 to 5 years experience including some experience with senior managers
Bachelor’s degree in an appropriate field
Graphic and presentation preparation skills
Skill certifications desired
