The Marketing Operations Manager is responsible for overseeing the daily operations of the marketing department, ensuring efficient workflow and resource allocation. This role involves managing agency relationships, onboarding new vendors, handling procurement processes, overseeing budget management, SOW contracts, purchase orders, managing cross-functional campaign initiatives, and supporting the Senior Marketing Operations Manager in quarterly and annual GTM marketing planning.

What You’ll Work On

  • Manage day-to-day Marketing Operations to include maintaining the global marketing calendar.

  • Vendor & Agency Management/Onboarding: Facilitate the onboarding process for new vendors and agencies, ensuring all necessary documentation and compliance requirements are met.

  • Procurement: oversee the procurement process for marketing materials and services, including negotiating contracts and managing vendor relationships.

  • SOW Contracts: draft, review, and manage Statements of Work (SOW) for marketing projects, ensuring all deliverables, timelines, and costs are clearly defined and agreed upon.

  • Purchase orders: create and manage purchase orders for marketing-related expenses, ensuring timely processing and payment.

  • Budget management: manage marketing budget ensuring all expenditures are tracked and within allocated limits, including agency invoices and aging reports.

  • Program management: lead and coordinate cross-functional campaign initiatives, working closely with various departments to ensure cohesive and effective campaign execution. Develop project plans, set timelines, and monitor progress to ensure campaigns are delivered on time and within budget.

  • Cross-functional collaboration: collaborate with cross-functional teams, including marketing, creative, finance, procurement, medical affairs, legal and regulatory to ensure seamless integration and execution of marketing initiatives.

  • Ads promo review process: work to streamline the medical, legal and regulatory review processes to support timely approvals for marketing assets.

  • Process optimization: design, implement, and refine marketing processes, workflows, and systems to improve efficiency and effectiveness. Document systems and processes in shareable workflows, docs, sheets, and slides, to maximize visibility and impact.

  • GTM planning support: assist Senior Marketing Operations Manager in developing and executing quarterly and annual marketing plans. Contribute to strategic planning sessions, provide data and insights, and help align marketing activities with overall business objectives.

Required Qualifications

  • Bachelor's degree in Marketing, Business Administration, or a related field.

  • 8+ years of experience in marketing operations or a similar role.

  • Strong understanding of procurement processes and budget management.

  • Proven track record of managing complex, cross-functional projects.

  • Experience with project management tools (e.g., Monday.com, Bynder, Veeva, Asana).

  • Exceptional organizational, communication, project management and problem-solving skills.

  • Strong communication and interpersonal skills.

Preferred Qualifications

  • Strong understanding of tech, ability to work with creatives and engineers alike. Familiarity with the Healthtech industry is a plus.

  • Self-motivated, eager to learn and problem-solve within a fast-paced environment.

  • Ability to manage, maintain and disseminate project information to stakeholders and senior management.

  • Self-starter that is assertive, possesses a high degree of self-confidence and intellectual curiosity.

  • Proven ability to identify/define business questions and issues and develop strategic, analytical and financial frameworks to conduct analysis.

  • Excellent oral and written communication skills, with the ability to interact effectively with all levels of management.

  • Proven ability to manage multiple tasks concurrently under aggressive timelines in a dynamic environment.

  • Comfortable working across functional areas (ex. Regulatory, Legal, Finance, Operations, etc.) and at varying levels of the organization.

  • Manage projects budgets, ensuring error-free, on-time, on-budget outcomes.

The base pay for this position is $112,000.00 – $224,000.00. In specific locations, the pay range may vary from the range posted.
