ADMINISTRATIVE ASSISTANT

This position will be filled at a Non-Exempt level 4-6 depending on the experience and qualifications of the candidate. This position is responsible for providing direct administrative support to the General Manager of the Eastern Division and is called upon on a regular basis to assist the other Managers within this department. This is a critical communication role within the department and a vital communication link to internal and external customers. Duties will include, but are not limited to: maintaining communication channel within department; ability to process, maintain and file confidential information, scheduling and coordinating meetings; maintain calendars; research data and prepare correspondence and reports, responding to phone calls and emails; SHIPS administration; preparing and assisting with presentations; purchasing supplies; preparing expense and corporate card statements; E-STARS administration; handling travel arrangements; and assisting with special projects. This position supports the Eastern Division Control Center Storm Room in the event of major storms or power outages. This position is also responsible for providing support to the Compliance Coordinator for the division. These duties include but are not limited to filing and maintaining records: managing the DOT/DMO records; scheduling DOT physicals; managing prescription safety glasses program for the division including processing the invoices; inputting SHIPS training records; and administering CKS written test. This position assists the Executive Assistant for the Division Vice-President as needed.

Job Experience

• Experience in an administrative support role required

• Proficient computer skills using Microsoft Office Products (Outlook, Word, Power Point, Excel)
