The Opportunity

We are seeking an experienced Administrative Assistant III in Austin, TX for our Cardiac Rhythm Management division.

As a global leader in Cardiac Rhythm Technologies, we focus on innovative technologies that can improve the way doctors treat people with heart arrhythmias, or irregular heartbeats.

What You’ll Do:

Partner with your Area Vice President and their leadership team, executing the following duties and responsibilities:

  • Area Vice President and Regional Directors Support: Travel, managing calendars, congregating data into ad-hoc reporting, Team meeting coordination, etc.

  • Point of contact for the Sales Representative Team and Clinical team in your Area:

  • Point of Contact for Resource Support and Problem Resolution Liaisons

  • Investigate questions or issues regarding HR, Sales Ops, Legal, Compliance, EHS, HCIR and other corporate functions.

  • Strategic support for special projects.

  • Super user – liaison: IT, Software, Process.

  • Point of contact for Corporate Operations Initiatives and Policy Support

  • Process change assistance: Actions include plan rollout, implementation, prepare and distribute communications while integrating policy/process into everyday operations, and gathering feedback.

  • Point of contact for Finance, Procurement, Acc Payable process implementation and resolution.

  • Ariba super user and area support.

  • Finance and Expense Reports liaison.

  • Corporate card issues and resolutions.

  • Vendor master support.

  • Payment terms.

  • Meeting Coordination Support

  • Area & regional team meetings, Rep Council, etc.

  • Support including booking venue, setting up F&B and AV, meeting invites, on-site support, team building planning, final spend reporting.

  • Abbott marketing materials, and promotional items.

  • Exhibit Requests Coordination

  • Confirm requests meet Compliance standards and guidelines (review checklist)

  • OEC Approval process coordination and follow-up.

  • Process and Policy communication: Catalyst Display, Literature ordering, booth duty schedule list requirement.

  • Compliance reporting

  • Cross functional and cross divisional coordination.

  • Others

  • PPE, Watts, Lead apparel, rep scrubs ordering and coordination

  • Product demo order and coordination

  • Educational Programs assistance

  • Field training

  • Coordinates new employee office set-ups and onboarding.

  • Ad-Hoc Area Business needs

  • Other responsibilities:

  • Administrative functions of the department: inbox request processing, calendar management, scheduling domestic and international travel, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, handling Teams meetings, acting as a liaison for remote access issues, orders business cards and stationery.

  • Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.

  • Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).

  • Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site Concur, and employee performance management systems (as applicable).

  • May train/coordinate work for new administrative assistants.

  • Frequently interacts with high-level executives.

  • Frequently handles confidential or business-sensitive information.

Required Qualifications

  • High School Diploma/GED or equivalent combination of education and work experience

  • 1 year previous admin experience

  • Operates with general instruction and some supervision

  • Basic to intermediate knowledge of Microsoft Office Suite, Adobe Acrobat, Outlook.

Preferred Qualifications

  • Experience with event management tools (CVENT, etc)

The base pay for this position is $19.60 – $39.20 per hour. In specific locations, the pay range may vary from the range posted.
