Roles & Responsibilities:

  • Perform a wide variety of advanced secretarial and administrative duties.

  • Schedule and coordinate appointments/meetings and follow up on delegated items including the coordination of conference rooms, and arranging visits from outside vendors and/or UTC executives.

  • Screen visits, mail, and telephone calls, handling and/or redirecting requests as needed.

  • Make extensive and sometimes complex travel arrangements, including coordinating with other offices, customers and locations.

  • Prepare detailed, timely and accurate expense reports.

  • Carry out special assignments, which require complex clerical and administrative duties of a confidential nature. This will require prioritizing and managing multiple tasks, often with short lead-time.

  • Organize event operations and procedures; ensures quality, assigns and directs building management and office staff (reception, catering, events, security, tech/AV, cleaning etc).

  • Secure conference rooms, supplies for visits and meetings as needed

  • Ensure attendee list/visitor authorization forms are submitted to security

  • Interface between UTC management, building management, IT and office staff on all issues related to physical office space as needed.

  • Serve as main point of contact for executive (including C suite) visits / external meetings

  • Assist with new vendor setup and management as needed

  • Work efficiently in a fast-paced work environment, requiring quality work, flexibility and individual initiative, and requires the ability to handle a variety of tasks quickly and efficiently.

  • Other administrative tasks, as delegated and requested.

Qualification:

  • Minimum of 5 years of experience supporting a senior level executive

  • Critical qualifications include: discretion, ability to work on sensitive and confidential matters effectively, possess a high level of organization skills and ability to prioritize tasks quickly and efficiently, with strong focus on results and attention to detail.

  • Strong interpersonal and teaming skills

  • Excellent written and oral communication skills

  • Dependable, thorough and detail-oriented

  • Ability to work independently, think critically and provide proactive solutions with limited to no supervision

  • Flexibility and adaptability

  • Proficiency in Microsoft Word, PowerPoint, Excel and Outlook

Education: AA/AS degree, Technical/Business School Certificate or Diploma, Skilled Trades Apprenticeship, or other post high school training (two years duration) with minimum of 5 years experience
