Administration Coordinator – Forsyth, MO

This is a full time exempt position.


Directs the Administration, Facilities, and Legal functions in accordance with company policy and procedure and applicable laws and regulations. Serves as the Executive Assistant to the Vice President, Forsyth.


  1. Maintains continuing communications with the Leadership Team to provide awareness of overall administrative and facilities needs.

  2. Negotiates with outside vendors to provide services for facilities and administrative services to include:

a. Cafeteria supplies

b. Vending services

c. Office supplies

d. Window cleaning

e. Parking lot maintenance

f. Security lights

g. Water coolers

h. Carpet cleaning

i. Embroidery services for uniforms

j. Office name plates

e. AED batteries and maintenance

  1. Maintains control of security alarm system.

  2. Maintains control of security camera system in conjunction with IT. Work with law enforcement agencies when necessary for access to security systems.

  3. Maintains control of cypher locks and keys for all doors. Issue/collect keys to colleagues and maintain accurate records of access to buildings.

  4. Digitally file and maintain records of all local contracts and agreements for both Deerland and SORA Labs.

  5. Digitally file and maintain records of all legal documents required at the Forsyth location. Ensure business licenses are posted as required.

  6. Coordinate office moves with IT, HR, and Maintenance.

  7. Facilitate office furniture and décor needs.

  8. Negotiates with outside vendors for the following contracts:

a. Facility janitorial services

b. Lawn care and landscaping

c. Floor mats

d. First aid kit supplies

e. Fire extinguisher maintenance

f. Water coolers

g. Security alarm system

h. Storage units

i. Leased equipment

  1. Maintain visitor records in SinePro system and any necessary paper logs.

  2. Work with local law enforcement to maintain Knox Box building access.

  3. Assist with flyers and company-wide communicates as requested.

  4. Assist with postings for colleagues.

  5. Responsible for all company vehicle license renewals.

  6. Coordinates authorized users for local credit accounts at the direction of the Vice President.

  7. Initiate requests for certificates of insurance through ADM’s online service.

  8. Initiate ADM legal reviews for local contracts, NDA’s, and other agreements.

  9. Assist with any necessary travel arrangements or agreements.

  10. Schedule and coordinate meeting/training rooms, food, supplies, etc.

  11. Coordinate meals when needed for meetings

  12. Coordinate and assist with employee events and recognition to include food, prizes, scheduling of facilities and all payments.

  13. Assist with onsite HR events such as vaccination clinics, blood screens, etc.

  14. Coordinate submission of information for company newsletter.

  15. Distribute monthly birthday/anniversary list to Forsyth colleagues.

  16. Coordinate and maintain temporary signage/postings for all buildings and parking lots.


Bachelor's degree preferred from a 4-year college or university or at least five years related experience and/or training; or equivalent combination of education and experience.

Must have a valid Driver’s License.


Ability to learn, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to convey reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, colleagues, customers, vendors, and the general public.


Ability to add, subtract, multiply and divide in all units of measure, using whole numbers common fractions and decimals. Ability to compute rate, ration and percent and to draw and interpret bar graphs.

The employee must occasionally lift and/or move up to 25 pounds.
