Description
* JOB SUMMARY *
_ The Office Coordinator supports the senior IT-Infrastructure and IT-Security leadership team in day to day activities as well as supports office operations in Building 40 which is the Textron Information Services primary location. This includes executive support, meeting and event coordination, office administration and procedures, facilities coordination, and vendor coordination in support of the IT organization. _
_ Energetic professional with the ability to apply him/herself to multitudes of items in a given day. Experienced in handling a wide range of administrative and executive support related tasks, is able to work independently with little or no supervision, well organized, is able to capture meeting minutes – even with technical subjects, able to track and coordinate action items, support third-party vendor management, and enjoys the administrative challenges of supporting an office of diverse people. _
* JOB RESPONSIBILITIES *
Executive Administrative Support
Maintain complex calendars
Schedule/update appointments
Travel & expense logistics - domestic and international
Create agendas and meeting minutes as needed
General administrative duties
IT-Infrastructure Leader Council (ILC) Meetings
Coordinate 3-4 face-to-face meetings at different company locations each year
Capture meeting minutes in weekly calls and track action items
Create basic presentations and assist with the development of dashboards and reports
Interact with and support all ILC members as needed
IT-Risk Management Council (ITRMC) Meetings
Coordinate 3-4 face-to-face meetings at different company locations each year
Interact with and support all ITRMC members as needed
Support the coordination of special events for large groups (meetings, fundraisers, etc.)
Annual Global IT Exchange meeting (over 100 attendees)
Support the planning and execution of various events such as leadership all hands meetings and support guests
Support the Office Manager with the Facilities and Vendor Management
Execute vendor purchase orders as directed
Process and approve vendor invoices
Support the maintenance of Building 40 badge access system for all employees, vendors, and visitors
Assist with the coordination of Bell access on Textron employee and contractor badges
Assist in monitoring Textron reserved/visitor spaces and coordinate parking lot access for non-employees
Coordinate food service vendor and maintenance issues
Coordinate with audio visual vendors on conference room issues
Maintain a safe and secure working environment
General Office Support
Maintain office efficiency through planning and procurement of office equipment
Participate in the day-to-day operations of the facility
Monitor and maintain office supplies and inventory
Other
Handle customer inquiries and complaints
Create PowerPoint slides and make presentations as required
Execute special projects
Additional duties as assigned
Qualifications
* EDUCATION/EXPERIENCE *
Minimum of 5 years of proven office management, administrative, or executive assistant experience
Knowledge of office management responsibilities and related systems/procedures
Basic budget management and oversight with knowledge of accounting practices
Knowledge of human resources management practices and procedures
General business acumen and knowledge of management principles
Computer skills, such as MS Office, and ability to quickly learn software packages
