Position Summary:

Bechtel is looking for a Records & Information Management (RIM) Supervisor to support our Energy GBU. This position will support with latent claims, records management, and document management. The incumbent must be able to work in the Houston, TX office 2-3 days a week for the first 2 months, and then after training period ends, the position will allow full-time telework.

Responsibilities:

Latent Claims:

  • Use job query to identify and respond to site search requests from outside counsel and be willing to sign affidavits and possibly be questioned based on those search results.

  • Search archives both digital and hard copy for records related to specific projects as request by our latent claims group.

  • Request retrievals and refiles using our offsite storage vendor’s software application.

Records Management:

  • Writes, edits, and coordinates reviews of Energy GBU records-related Management Instructions, procedures and other instructional resources.

  • Works closely with functional groups, projects, vendors, Bechtel's Corporate Records Manager, legal and technology professionals, and government resources on records-related issues.

  • Interfaces with both internal and external subject matter experts and/or organizations to broaden company knowledge on electronic information, knowledge management and document/records management protocols and standards.

  • Develops best practices and recommends program improvements for managing company records and information through automation and work process analysis.

  • Manage both Energy and Corporate offsite storage inventory.

  • Directs projects and functions on collection of records as well as archive/turnover activities, coordinates retention schedule updates, and flows down corporate Records and Information Management (RIM) initiatives.

  • Receive and validate invoicing from off-site document storage service.

  • Update new inventory using the offsite storage vendor’s software application.

  • Assist with research/requests from legal and other parties to retrieve inactive records from hard copy storage locations.

  • Review inventory, both digital and hard copy, and identify records that have met retention requirements.

  • Initiate destruction packages and coordinate review with information owners, corporate legal and tax.

  • Initiate destruction work orders using Vendor’s offsite storage software application for inventory archived offsite, and for digital archives, using the Records Management application.

  • Manage Digital archives.

  • Monitor status of archival efforts for completed projects.

  • Mine out information upon request for legal and for re-use purposes, with prior approval from technology owner.

  • Responsible for the management of functional documents going into the Records Management application. (Proposals, Office and Admin services reports and correspondence).

  • SME for the Energy GBU in the application the Standard Document Numbering (SDN) requirements as well as the records retention requirements (RRS).

  • Issue/Manage Energy procedures and instructions in the ECMS.

  • Coordinate requests for access to archived shares with technology owners.

  • Support audits for quality assurance, internal technical reviews, client reviews, and ISO audits.

  • Coordinate and participate in functional assessments of projects.

  • Work with corporate Records Management team regarding the maintenance of the corporate SDN and RRS website.

Document Management:

  • Perform Document management for multiple clients and learn each client’s specific requirements and applications.

  • Work with each client to identify the application to be used for the exchange of issued documents.

  • Coordinate with other functions in the implementation and automation of supporting tools (such as DSC, Agile, etc.) and the interface with the enterprise ECMS.

  • Manage access to the ECMS for all project participants.

  • Coordinate and train project participants in accordance with each client’s specific requirements.

Qualifications and Skills:

Basic Qualifications:

Level One:

  • Minimum 8+ Years of Document Management experience.

  • Some prior experience in writing and performing technical procedures.

Level Two:

  • Minimum 13+ Years of Document Management experience.

  • Prior experience in writing and performing technical procedures.

Additional Qualifications:

  • Solid oral and interpersonal communication skills.

  • Experience in records scheduling and dispositioning (e.g., archiving. retention and destruction).

  • Strong familiarity with legal and regulatory requirements for records and information management systems and processes.

  • Must have experience in Records Management such as strong knowledge regarding the application of retention periods, monitoring when records have met retention and following a rigorous destruction review process.

  • Knowledge and experience with engineering, procurement, construction, safety, and project management functions, including related procedures, records, and automation systems used in support of projects and functions.

  • Experience with the Legal discovery process and tools used to support any litigation or claims.

  • Knowledge and implementation of industry standards (e.g., ISO) and government requirements related to records management.

  • Must be experienced with how job information is managed in the corporate application.

  • Must be experienced with how archived information is managed at Vendor’s offsite storage facilities (e.g., inventory, account billing, space allocations, retrieval/refiles).

  • Must have the right to work and remain in the United States without visa sponsorship.

  • Demonstrated ability to work collaboratively with a diverse group of stakeholders.

  • Excellent written, oral and interpersonal communication skills.

  • Must be able to demonstrate a high level of proficiency using standard office automation tools, including Microsoft Excel, Outlook, and Word, Teams, OneDrive, SharePoint Online. Skills assessments to determine proficiency level may be administered.

  • Must have 3 to 5 years of advanced knowledge in the use of ECMS's, for management of active and inactive records and be able to provide training to large groups of people.

  • Must have the ability to create and use bulk loading tools to import records into ECMS's.

  • Ability to travel to participate in court proceedings.
