Job Description

BAE Systems is seeking a senior Administrative Assistant to organize and support the Hudson site executive and its leadership team across its 3 campus locations. This individual will be the primary point of contact for site communications, site engagements, and provide administrative support by performing a variety of complex and routine administrative duties. This is a unique opportunity to work as an engaged and valued team member driving employee morale and safety across the Hudson campus.

Beloware the responsibilities which occupy a major portion of time and importance in the role.Responsibilities may shift with business needs, but include the following:

  • Contribute to performance and success of the Site Executive and Site Team.

  • Help to create an approachable, inclusive, positive and enjoyable Site Team as perceived by site employees.

  • Supports Site Executives as needed Create agenda and update running action item list, meeting minutes, manage and drive meetings,work orders and purchasing, etc.

  • Act as point person for site inquiries and routine requests for information from Hudson employees and any who contact the site from inside and outside the company.

  • Administer all site wide communications that pertain to the site such as newsletters and site activities. Support employee engagement events and activities. Post news, contest, announcements, events to company homepage and digital boards across the campus.

  • Role requires an understanding of the many business practices and policies, and an ability to work with all levels of employees and management.

  • Oversee the planning and execution of all site-owned events, including corporate sanctioned events that may occur at the site.

  • Support and mentor Site Committees (Safety, Charity, Employee Engagement, Wellness and Diversity, Equity and Inclusion and ERGs).

  • Order supplies and products for site and committee needs, process expense reports.

  • Maintain mailboxes for site executive, review committee mailboxes and provide access to committee leads.

Because this role involves a combination of collaboration/in-person and independent work, it will take the form of a hybrid work format, with time split between working onsite and remotely.

Required Education, Experience, & Skills

  • A true team player who maintains a positive attitude in a dynamic environment.Ability to create and foster a cooperative work environment.

  • Self-directed, detail oriented in completing assigned tasks.Able to take initiative when needed on behalf of the site executive team.

  • Perform general administrative tasks including typing; making copies, collating, and stapling; preparing packages for delivery; filing information in established files and retrieving files upon request; record keeping; data entry into an established database.

  • Possess strong communication skills, both written and spoken.

Preferred Education, Experience, & Skills

  • 10years of experience with High School Degree, 4 years with Associate's Degree, or 2 years with Bachelor's Degree.

  • Able to make financial decisions that are fiscally responsible and cost effective to the company.

  • Well organized, and able to multi-task. The role requires keeping up with many moving parts simultaneously.

  • Be proactive and flexible as job requirements often change to address other areas of business.

  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint.

Pay Information

Full-Time Salary Range: $60390 - $96580

Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
