Work Schedule: Monday thru Friday, 9:30 pm - 5:00 am (is subject to change)
Job Description
This position performs general administrative responsibilities including preparation of simple to complex reports using various software packages, compilation of information from various sources, and handling small scale projects. He/She performs general office duties including word processing, data entry, auditing documents, answering phones, distributing mail, reserving conference rooms, coordinating meetings, and other duties as assigned. This position also enters data for shipments and manages critical shipment requests of US customs to maintain security and compliance. He/She manages export shipment documentation to meet various import country clearance regulations and provides the promised service to the UPS customer. This position monitors inbound and outbound flight operations. He/She communicates with Contingency, Aircraft Routing, Hub, OPC Load Planning, Staff personnel, etc. and makes adjustments to aircraft parking and/or tail assignments, communicating changes promptly to appropriate parties and areas.
This position communicates effectively, solves intermediate level problems, assists with basic research, and demonstrates time management skills. This position performs various other tasks as assigned. This position may deal with confidential material on a regular basis
Responsibilities
Prepares reports/presentations
Performs analysis using various software packages and databases (e.g. MS Access)
Provides advanced office support knowledge and skills
Prepares and/or coordinates information for internal and external contacts
Coordinates all inbound and outbound aircraft activity
Communicates with all internal and external departments including Aircraft Maintenance, Cargo, Hub, Flight Control, Agriculture, Customs, and various vendors
Assists others with any contingencies and communicates details to affected departments
Communicates between regions and countries
Compiles and audits all daily, weekly, monthly reports
Audits vendor invoices
Answers and addresses the HELP Line.
Codes departure delays and arranges for small feeder aircraft if needed
Prepares reports for Staff-level managers
Monitors weather and announces operational bans when necessary
Qualifications
High School Diploma, GED, or International equivalent
2+ years' office warehouse support experience - Preferred
Strong analytical, oral/written communication, problem solving, basic research, attention to detail and time management skills
Proficiency in Microsoft Office (Word, Excel, Access, and Outlook)
Available to work flexible schedule including extended hours and holidays as service needs dictate
