BAE Systems Facilities Administrative Assistant in Nashua, New Hampshire

Job Description

This position will report directly to NCA Facilities Plant Engineering Manager and will support a highly qualified staff of facilities professionals. The selected candidate will work in our downtown Nashua NH facility, which sits on 22 acres and has approximately 680,000 square feet of office, lab, and manufacturing space.

The successful candidate must have strong communication skills, be self-motivated and capable of working in a collaborative team environment. The successful candidate shall have a proven track record of work experience in a relative field and be capable of the following:

  • Prepare correspondence, reports, presentations, agendas, minutes, and other documentation related to facility operations.

  • Understanding/utilization of a computerized work order system such as Maximo.

  • Handles clerical duties such as: travel arrangements using Concur software, ordering office supplies, coordinating safety apparel for the crew, managing the conference room schedule, vacation schedules, on call phone schedules, receiving emails on behalf of your supervisors, screening and directing department calls and answering inquiries in supervisor's absence.

  • Will assist with daily operations of the Facilities office to establish office systems, increase and/or enhance department efficiencies. Will work with shipping & receiving to coordinate office/department/site deliveries, writes purchase orders, submits check requests, coordinates P-Card purchases, pays invoices, tracks and manages re-occurring permits, licensing & inspections.

  • Will maintain an office document filing system per state & federal RIPT requirements, composes and circulates site wide communications regarding department activities, compiles special reports, conducts special projects containing highly confidential information and performs administrative duties as required to relieve supervisor of administrative details.

Required Education, Experience, & Skills

Must have strong Organizational and Communication skills. Requires an associate s degree or equivalent and one (1) year of related experience; or a High School education or equivalent and specialized courses plus a minimum of three (3) years related experience.

Must be proficient with MS Office Suite to include database manipulation, intermediate to advanced experience in Word, Excel, and PowerPoint

Pay Information

Full-Time Salary Range: $52690 - $84260

Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
