Job Summary

Soundside Wealth Advisors is a comprehensive financial services firm that has been in operation for more than 25 years. We help our clients find financial clarity, confidence, and freedom. We are committed to the client families we serve, and as we build our team, we are seeking an empathic, curious, and warm Office Manager who thoroughly enjoys working with people and excels at administrative tasks.

Essential Duties and Responsibilities

  • Manage the overall operations of the office.

  • Ensure compliance with firm and regulatory policies and procedures.

  • Responsible for payroll.

  • Oversee ordering of supplies, purchase orders and postage usage.

  • May review branch invoices and operating statements.

  • Research and resolve complex problems relating to client accounts and inquiries.

  • Greet clients in-person, over the phone, and via email.

  • Schedule clients for advisor meetings

  • Perform other duties and responsibilities as assigned.

  • Contribute to marketing and social media strategies and content.

Knowledge, Skills, and Abilities

Knowledge of

  • Company policies and procedures and industry rules and regulations.

  • Investment concepts, practices and procedures used in the securities industry.

  • Financial markets and products.

Skill in

  • Project management

  • Organization

  • Time management

Ability to

  • Operate standard office equipment and use required software applications to produce correspondence, reports, electronic communication, spreadsheets, and databases.

  • Familiarity with Microsoft Office Suite and QuickBooks.

  • Maintain a professional and pleasant demeanor to work with clients.

  • Communicate clearly.

  • Utilize good interpersonal, verbal, and written communication skills with clients, financial advisors, and back-office personnel.

  • Effectively organize, manage, track, and complete multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced work environment.

  • Work independently, under minimal supervision.
