Pfizer Executive Assistant to Chief Strategy & Innovation Officer in New York City, New York

ROLE SUMMARY

As part of the business support team, this position will provide a full range of executive level administrative support to the Chief Strategy & Innovation Officer (CSIO). The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to prioritize appropriately. The candidate must have a keen attention to detail and works thoughtfully and collaboratively with Chief of Staff (CoS) and other senior level stakeholders, managing multiple concurrent activities. The candidate must be self-driven, able to multitask, and work in a fast-paced and dynamic environment. Excellent networking, interpersonal, and communication skills with an attention to detail are a must.

ROLE RESPONSIBILITIES

  • Work with information of an extremely confidential and proprietary nature

  • Manage sensitive matters with a high level of confidentiality and discretion.

  • Manage calendar of the Chief Strategy & Innovation Officer

  • Meeting scheduling, conference room reservations, Teams meetings and video set-up and associated meeting logistics

  • Anticipate conflicts and partners with CoS to resolve.

  • Coordinate calendars, meetings, and key deliverables

  • Create daily 'e-briefings' (with links to materials for each meeting) from Chief Strategy & Innovation Officer outlook calendar one business day in advance (or on Saturdays for Monday), update as needed. Proactively prepare meeting materials in advance.

  • Travel management - secure all aviation, transportation and accommodation needs. Support the planning of meetings, the development of itineraries and travel briefings. Ensure all details are included in outlook calendar.

  • Prepare expense reports, track reimbursements, and ensure correct AMEX credits/debit.

  • Management of compliance processes (Sunshine Act, Engage, FCPA, etc.)

  • Open, review, and route mail, replying to routine correspondence.

  • Provide phone screening coverage; arrange for visitor passes and building access.

  • Works closely with the CoS and Executive Operations team - planning of key events, dinners, and travel.

  • Proactively and independently organize and expedite workflow and initiate follow-up when necessary to ensure schedules and deadlines are met.

  • Use appropriate discretion in the management of information and stakeholders.

  • Prepare and edit reports and presentations using Microsoft Office software; organize and maintain a high volume of electronic files.

  • Manage professional subscriptions and society memberships for the principal.

  • Coordinate meetings with the Business Innovation LT Administrative Assistants on a quarterly basis

BASIC QUALIFICATIONS

  • Candidate to possess a minimum 7 years administrative/executive support experience that demonstrates an ability to carry out all office functions proficiently.

  • Demonstrate resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative.

  • Using good judgment while working with highly sensitive, confidential material and information

  • Demonstrated strong self-starter, independent, pro-active, and self-motivated.

  • Must have the ability and professional demeanor to interface with senior management, international colleagues and important external stakeholders and must be able to exhibit good judgment in handling confidential information.

  • Possess excellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of the organization.

  • Extremely detail oriented, quick learner and possess the ability to work under pressure for extended periods of time.

  • Proficiency in MS Word, OneNote, MS Teams, Excel, PowerPoint, and Outlook are essential.

PREFERRED QUALIFICATIONS

  • Strong knowledge of Pfizer headquarters environment preferred.

  • Knowledge of Pfizer organizational processes and past executive administrative assistant experience a plus, but not required.

  • Bachelor's degree strongly preferred.

OTHER REQUIREMENTS

The salary for this position ranges from $34.71 to $60.85 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company's policies.
