Job Description:

Candidates for this role must have experience working in a fast paced work environment with the ability to multitask and perform with a great level ofefficiency and produce high quality output often under tight deadlines. Performsdiverse, advanced and confidential administration support functions. Will be involved in executive-level contact and exposure to sensitive information, and must use considerable tact, diplomacy and judgment.

Ideal candidate is someone who speaks Spanish and/or Portuguese.

Role Responsibilities:

  • Proactively manage the calendar of the Latam COO Executive, anticipate necessary background material, and effectively resolve conflicts that arise in a professional manner

  • Answer executive phone line for the executive

  • Use the online travel system to schedule travel arrangements (both domestic and international) for the executive

  • Review, submit and/or challenge expenses for the Latam COO team

  • Handle sensitive and/or confidential documents and information

  • Communicate with executives and line management to gather or convey relevant information

  • Help managers onboard/off board staff for the team in all regions, both FTE and contractor, including setting up technology, submitting relevant tickets and liaising with corp services/location needs

  • Partner with tech support to ensure systems, consumables and tools are available where needed

  • Consolidate and distribute reports as needed, either in routine or ad hoc basis

  • Help organize small events / townhalls / external meetings – invitation / logistics and others

Core Skills:

  • Min 5 Years’ Experience

  • Strong organizational skills and ability to prioritize and manage competing priorities with excellent attention to detail

  • Intermediate to Advanced computing knowledge: Outlook, Word, PowerPoint and Excel

  • Ability to perform in a fast paced environment and interact with senior management under highly demanding conditions

  • Polished and professional in phone and email communications

  • Exceptional problem solving skills and tenacious work ethic

  • Excellent time management, organization and multi-tasking

  • Embraces the culture of the team while seeking to improve engagement between regions and groups

Pay and benefits information

Pay range

$32.00 - $60.00 hourly pay, offers to be determined based on experience, education and skill set.

Discretionary incentive eligible

This role is eligible to participate in the annual discretionary plan. Employees are eligible for an annual discretionary award based on their overall individual performance results and behaviors, the performance and contributions of their line of business and/or group; and the overall success of the Company.
