Job Description:

Johnson & Johnson is recruiting for a Lead Assistant, IDAR Business Operations located in Raritan, NJ or Titusville, NJ. This position may require up to 15% travel to other NJ/PA Johnson & Johnson sites.

Per our J&J Flex Policy, the expectation for this position is to work in the office 3-4 days per week and work from home 1-2 days per week.

Position Summary:

This position will provide executive support to senior leaders within the organization by managing a complex calendar, coordinating office management activities, collaborating with senior management, and assisting with various administrative processes. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential and sensitive matters. This role will also be responsible for providing guidance and mentorship to other members of the IDAR Centralized Admin Network (CAN) and identifying process improvements for administrative processes.

Principal Responsibilities:

Calendar Management:

  • Manage a complex calendar and prioritize meetings, ensuring maximum effective time use.

  • Coordinate and interact with internal and external partners.

  • Anticipate and proactively prevent issues related to scheduling conflicts.

Office Management:

  • Ensure flawless office management for global IDAR Leadership Teams.

  • Regularly interact with senior leaders to address their office management needs.

  • Collaborate with senior management and their assistants to solve complex problems related to project, department, or division-related work.

Meeting & Events:

  • Provide end-to-end meeting & events support for global departmental meetings, townhalls, leadership team meetings: both large and small, on and off-site, in person, hybrid and virtual.

  • Support local office logistics: coordinate site visits and check-in and escorting guests.

Centralized Admin Network (CAN) Support:

  • Provide guidance, support, and mentorship to other members in CAN and the broader admin community.

  • Share best practices and harmonize operational excellence support across the organization.

  • Identify and implement process improvements for administrative processes.

  • Act as a backup for other management assistants within CAN.

Travel and Expense Management:

  • Assist in making travel arrangements for senior leaders.

  • Prepare and submit expense reports for senior leaders.

SharePoint and Other Tools Coordination:

  • Support complex cross-functional SharePoint sites and portals.

  • Coordinate the use of other tools and platforms as required.

Education and Experience Requirements:

  • Education : Bachelor’s degree preferred; however, other relevant experiences and skills may be considered by the hiring manager when considering the candidate’s eligibility.

  • Experience : A minimum of 5 years of advanced administrative/secretarial experience is required. Executive level support of a VP or President strongly preferred. A good understanding of the Clinical Operations environment.

Other:

Learning Agility

  • Keep up to date on the organization's strategy, objectives, performance, and its stakeholders.

  • Ability to acquire new IT skills beyond the traditional Microsoft package such O365 and new communication tools.

Travel:

  • Up to 15% of travel is required across J&J sites in NJ/PA (Raritan NJ – Titusville NJ – Springhouse PA)

  • Excellent computer skills including with O365, J&J specific software packages that support business processes (e.g. Concur, Ariba, Worksense, Fieldglass, 1-Supply, …)

The anticipated base pay range for this position is :

$60,900 to $97,800

Additional Description for Pay Transparency:

This position is overtime eligible. This job posting is anticipated to close on 3/31/2025. The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation’s performance over a calendar/performance year.
