Job Summary:

Coordinates the technology aspects of meetings, events, workshops, and conferences, both in-person and virtually; including the setting up of computers, connectivity, audio/visual, and virtual platform as necessary. Each event entails several weeks of advance planning, setting up of the equipment and network infrastructure, and troubleshooting any issues, which might arise during the event. In addition, helps manage vendor relationships with the companies providing rental equipment. Involved with contract negotiations for conference services. Uses advanced knowledge of the software deployment process to create and maintain software images and implement changes. Consults on a variety of issues and performs in-depth troubleshooting with clients and vendors. Maintains conference hardware, inventory control, and distribution logistics. Support conference registration systems and mobile app. Utilize video editing software to produce recordings of events.

Essential Duties and Responsibilities:

  • Manage software image creation and deployment.

  • Ensures new software images contain the latest application versions, drivers, and security patches for all platforms and supported hardware.

  • Ensures the image creation process and all proposed software image changes are fully documented.

  • Maintains a testing lab environment.

  • Helps maintain inventory for all lab and conference hardware, and assists with budget considerations.

  • Meets with conference organizers from various business units and technology departments to plan conference network and PC setup, create any specialized software images needed, and tests configurations prior to start of conference.

  • Performs analysis of LAN/WAN needs for conferences and contributes to the design of the architecture, the integration of the various nodes, and the installation of software images, network switches, terminals, peripherals, and cabling.

  • Works closely with conference organizers prior to, during, and after an event to ensure all of their technical needs are being met appropriately.

  • Maintains the department website.

  • Support board meeting applications.

  • Utilize video editing software to produce recordings of events.

  • Helps maintain and support conference registration systems and mobile app.

  • Interacts with vendors as needed regarding conference setup issues, best practices in image deployment, determining best image configurations for hardware, and ongoing deployment equipment support.

  • Provides weekly status reports to management to summarize activities.

  • On-call and/or night and weekend hours may be required.

  • Up to 50 percent travel required.

  • Performs other duties and responsibilities as assigned.

Qualifications

Experience and Skills:

  • Minimum of a Bachelor’s degree in Computer Science, MIS or related degree and zero (0) to two (2) years of relevant experience or combination of education, training and experience.

  • May work a non-standard shift including nights and/or weekends and/or have on-call responsibilities.

  • Knowledge of the following:

  • Windows deployment services sufficient to create high quality software PC builds, and train others to perform this function

  • Concepts, practices, and procedures of hardware and software support

  • Computer hardware and software, peripheral equipment and diagnostic methods, techniques, and procedures

  • Operating systems, resources, and services

  • Network communication protocols

  • Video editing and production

  • Virtual event management

  • Installing, troubleshooting, and maintaining computer hardware and software

  • Mobile devices

  • Networking

  • Audio/visual

  • Business applications

  • Security products

  • Financial services applications preferred

Licenses/Certifications:

  • Preferred technical or business-related certifications

  • Cisco certifications (CCNA or CCNE)

  • Microsoft certifications (MCSA or MCSE)

Travel:

  • Up to 50% travel
