Summary

This position provides administrative support to Insight Planning Group. A detail-oriented Executive Assistant needed to support a successful financial advisor serving 200 clients. This full-time position (40 hours/week) offers health benefits and retirement benefits, based in Temecula, California. The Executive Assistant reports to and is employed by Insight Planning Group.

This position offers competitive compensation and benefits while providing opportunity for professional growth within a successful financial advisory practice. Compensation is between $58,000-62,000 with potential to bonus. Benefits include: PTO, holiday pay, medical benefits, retirement plan with a 3% contribution, disability insurance.

Job Description

Core Responsibilities

  • Manage comprehensive email communications, ensuring timely and professional responses

  • Polish and proofread written communications to ensure clarity and accuracy

  • Attend client meetings to capture comprehensive, accurate notes

  • Organize and format client meeting notes for review and future reference

  • Create follow-up documentation based on client meeting discussions

  • Maintain detailed client records in our CRM system

  • Coordinate client meetings and follow-up activities

  • Support various business projects including:

  • Office management and administrative organization

  • Tracking and categorizing business expenses

  • Assisting with business-related documentation

  • Coordinating with vendors and service providers

  • Managing property-related communications and scheduling

Key Qualifications

  • Exceptional attention to detail and organizational skills

  • Outstanding written and verbal communication abilities

  • Strong note-taking skills with ability to identify key action items

  • Proficiency in creating clear, error-free documentation

  • Experience with email management systems and Microsoft Office suite

  • Ability to handle confidential information with discretion

  • Experience with basic bookkeeping and expense tracking preferred

  • Understanding of basic financial terminology a plus

As part of Insight Planning Group's recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process. In addition, fingerprints will be taken for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
