Fresenius Medical Care North America Medical Records Coordinator in Wichita, Kansas

PURPOSE AND SCOPE:

Knowledgeable, experienced specialist responsible for providing direction to FMCNA locations with implementing records management policies and procedures, and in records management systems. Provides training for FMCNA personnel as required. Resolves records storage and retention issues, ensures compliance with record storage, protection and retrieval requirements. Supports FMCNA's mission, vision, core values and customer service philosophy. Adheres to the FMCNA Compliance Program, including following all regulatory and FMS policy requirements.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Under limited supervision, apply considerable records management knowledge and skills to provide solutions, answer questions and resolve a wide range of moderately difficult, diverse issues, tasks and projects relating to the FMCNA record management program its systems and procedures.

  • Provide support and direction to FMCNA locations and staff with the implementation of records management policies and procedures, and in records management systems.

  • Maintain confidentiality of patient, employee and company information in accordance with HIPAA regulations and Spectra Laboratories policies.

  • Liaison between storage and shredding vendors and Fresenius regarding account maintenance, setups, changes and issues. Resolve records storage and retention issues, ensures compliance with record storage, protection and retrieval requirements.

  • Provide records management training during the new hire orientation and pertinent FMCNA personnel as needed.

  • Ensure adherence to records management policies and procedures.

  • Take initiative to manage, handle and solve daily problems and basic to moderate issues exercising judgement within company defined policies, procedures and practices to resolve issues; refer more complex issues to direct supervisor for resolution. Keep supervisor informed of all issues.

  • Perform standard and routine administrative duties, including answering and managing department telephone calls.

  • Build productive internal and external working relationships. Contacts are frequently with individuals representing other departments and representing outside organizations, and involve obtaining or providing information or data on matters of importance to the function of the department or which may be of a sensitive nature.

  • Prioritize multiple tasks in a fast-paced working environment, and utilize well-developed organizational and communication skills with both internal and external contacts.

  • Assist with various projects as assigned by direct supervisor.

  • Other duties as assigned.

EDUCATION:

  • High School Diploma required; Advanced Degree desirable but not required.

EXPERIENCE AND REQUIRED SKILLS:

  • Minimum 2 - 4 years' records management experience; or similar related field experience; or Associates Degree in Records Management or other related field with 1 - 2 years' experience.

  • Minimum 2 - 4 years' working in an office environment.

  • Demonstrated analytical problem-solving skills and the ability to develop solutions to observed problems.

  • Knowledge of hard copy records storage required.

  • Experience with manual and automated filing systems for general office use.

  • Developed ability to multitask, prioritize and manage time effectively.

  • Self-motivated with the aptitude to successfully work independently and in a team structure in a high-pressure environment.

  • Excellent verbal and written communication skills.

  • Highly detailed with excellent organizational and customer service skills.

  • Strong interpersonal skills with the ability to build working relationships with internal and external customers, manage composure and handle all interactions in a professional and courteous behavior with accuracy and respect for patient's confidentiality.

  • Proficient in computer software such as Microsoft Office applications, the ability to learn new software programs and systems, and familiarity using other office equipment.

  • Must be dependable, reliable, and customer service and results driven.
